Private vs Hidden

As an administrator, you may need to upload sensitive materials or content that should not be accessible to Workspace users. To protect these materials, you have the option to either hide them or make them as private.

It is recommended to familiarize yourself with the Showell User Roles and Group Privileges in order to fully understand the distinctions between Private and Hidden:


Private

You are able to make Folders and Files Private. Private means that there is no General access for anyone in the Workspace, nor have Group Privileges been set.

  • Only Administrators and the contents Owner can find, view and edit the file/folder from both Showell App and Showell Admin.


Hidden

You can also choose to hide Folders or individual Files.

  • Only Administrators and the contents Owner can edit the file/folder from both Showell App for Web and Showell Admin. However, just like users, they are unable to find or view the contents from the Showell App in View mode.
  • Users with restricted Access to Showell Admin that have the right group privileges will be able to find and edit the hidden file/folder from the Showell Admin platform.

 

 

Showell App for Web: How to make contents Private

Private

  1. In the Showell App for Web, Open 'Edit'-Mode and navigate to the content you would like to make private
  2. Open the folder or file settings Settings
  3. In the 'Access (owner & groups)' area, click Edit
  4. At 'General access', make sure Everyone at Acme Universal has No access
  5. At 'Groups', make sure no groups are added
  6. Click Save to apply the changes

 

 

Showell App for Web: How to make contents Hidden

Hidden

  1. In the Showell App for Web, Open 'Edit'-Mode and navigate to the content you would like to make hidden
  2. Open the folder or file settings Settings
  3. In the 'Filename & Link' area, toggle Hidden ON
  4. Click Save to apply the changes

 

 

Showell Admin: How to make a Folder Private

Private Admin


Option 1 - Remove Group Privileges

  1. Sign in to Showell Admin
  2. Browse to the folder you would like to make private and open its Setting
  3. In the 'Privileges' section on the right side you can remove all groups by pressing the cross on the right side of the group.


Option 2 - Make a new Top-level folder Private right away

  1. Sign in to Showell Admin
  2. In the top menu bar, click Files > New Folder
  3. Toggle private view to ON > Done

 

 

Showell Admin: How to Hide a File or Folder

Hidden Admin

  1. Sign in to Showell Admin
  2. Browse to the folder or file you would like to hide and open its Setting
  3. In the 'About' section on the right side you can toggle 'HIDDEN' to ON or OFF.

 

💡 FAQ

Can I make my content hidden/private if I use a Cloud integration?

If you want to limit access to your synced DAM/Cloud integration content, we recommend making it private. This is because if you choose the 'hidden' option, the hidden folders will become visible every time the content is synced.
